Sustainability in electronic document management saves money for companies

Today, the environment has become a major concern in all sectors of society. This concern is reflected in a general uncertainty over global warming and energy shortages, these realities add significant economic costs.
As citizens of our planet we have the responsibility of acting in a sustainable manner, a skill that can be easily extrapolated to businesses. The volume of paper used by these organizations may be much less when opting for green technologies. This concept, known as Green IT, has all the trends to identify, propagate and encourage energy efficient technology, thereby reducing their environmental impact while achieving cost savings. Among others, we find the implementation of the document management systems stand out.
In addition to this environmental awareness, there are other factors that have created a demand for infrastructure and more powerful document management systems, such as; the uninterrupted progress of the networks and the increasing digitization of content and processing capacity, among others. For this reason, companies increasingly opt for the electronic format generation of documents and not just printing.

Before and after this technology

Until recently document software was considered a luxury, something dispensable. **End Summary** Topics:
About the Author:
Julio Olivares - President DocPath Document Software

Mobility enhances the possibilities of document management

The design of electronic devices are becoming more compact with more advanced features, such as smart phones and tablets. This combined with the development of technologies enables increased connectivity options, which have driven business mobility beyond anything we could have imagined in the beginning. These technological advances, coupled with the recent rise of cloud services, in recent years, has led the average office to be able to move anywhere. This has a logical impact on companies: increased productivity, by allowing employees to work from anywhere at any time.

Until now, mobility has been considered as a differential element. Over time, mobility is almost becoming a requirement for companies, i.e.; a trend that must necessarily follow through so that it does not get misplaced in the market. Access to key business applications from Smartphones or tablets speeds up work and provides immediacy, reduces downtime and facilitates the tasks to be performed, which ultimately means a better use of company resources.

Large corporations are fully aware of the potential and do not hesitate to implement more and more steps to move towards mobility. **End Summary** Topics: document management mobile document management document software
About the Author:
Julio A.

**End Summary** Topics: Software Documental tecnologa documental
About the Author:
Julio A.
The Paper Consumption in Small Businesses is too High!

Talking about the office of the future means talking about the paperless office and, more specifically, how new technological improvements can help enterprises of any size obtain cost savings and operate more efficiently using electronic documents.

Although the advantages of the paperless office seem more than clear, it is hardly implemented by SMEs, which are generally resistant to technological innovations. When asking about the the reason for this "lack of interest in document management" among SMEs, a general observation is, that Large enterprises, such as banks, understand the need to reduce their paper consumption, and many have already implemented document management systems. However, the advantages of document management are not as clearly appreciated by SMEs, which have a much lower volume of printed documents.

Despite this, this does not mean that paper consumption of small companies in Spain should not be a matter for consideration. There's an abuse of paper and employees are normally not aware that printing is a cost for the company. They do not realise how much printing costs the company at the end of the year.

For this reason, we encourage businessmen to implement document management systems with a little experiment. **End Summary** Topics: document management systems paperless office
About the Author:
Julio Olivares, DocPath President - DocPath is a document technology software company, specialized in providing package software enabling users to easily design and multi-channel distribution (batch and online printing, e-mail and fax delivery, dynamic document generation in Web environments) document outputs.
Quality and Small Business

For many years, the concept of QUALITY has turned into a matter of consideration by the majority of businesses. Large corporations, thanks to their extensive means, have been working on QUALITY for over 30 years. However, with SMBs, it is more recent and some still don't give it the importance that it deserves.

The concept of the SMB includes a wide spectrum of organizations, ranging from freelance employers to companies with hundreds of employees and companies with very few employees that manage gigantic businesses, although, this last example is difficult to classify. QUALITY is important for all of them.

Every day it's more important for SMBs to invest in the concept of QUALITY as this is the way that will help them to be more competitive, reduce costs and be more efficient. The goal should be to eliminate manual, disorganized and disjointed processes, which comprise a cultivating mix for errors, poor production, unsatisfied customers and, definitely less business.

The easiest thing to do is to blame the government and public agencies for all the bad things we complain about. **End Summary** Topics: Quality SMB
About the Author:
Julio Olivares, DocPath President; DocPath is an international Spanish document technology software company, specialized in providing package software enabling users to easily design, multi-channel distribution (batch and online printing, e-mail and fax delivery, dynamic document generation in Web environments).
