Record Management: Application Enabler

By:

Are you considering acquiring the services of a record management company? This article will discuss how record management software may be able to benefit your business. This article will focus on an Application Enabler that integrates software application to the latest record management technology and discuss how this technology can be implemented and benefit businesses.

The Application Enabler is a product that seamlessly integrates software applications with other record management technology. This non-intrusive integration is achieved without the need for API programming, scripting, or modifications to the user's application. Since this interaction can be achieved by a simple point-and-click configuration, administrators can create custom integrations that perfectly match their users' requirements and are flexible enough to change and evolve alongside the business.

Documents can be retrieved from the repository directly from within the enterprise application. Those documents can then be reviewed, cross-referenced, annotated, and managed utilizing all available record management functions. In addition to these document management functions, Application Enabler can deliver Workflow execution functionality to the line-of-business application. Data within an application can be passed to a workflow for evaluation, processing and routing. This data can be configured to trigger or participate within a business process.

The Application Enabler can use the documents and metadata 'mapped' to the user's screens for importing documents into the record management system. For example, Application Enabler can generate indexing bar codes sheets with data from the User's application. This functionality not only enables businesses to incorporate paper-based documents into their content management system, but also to link those documents directly with data residing in the application.

A County Clerk of Courts, for example, could use Application Enabler to integrate their Case Management software with record management technology. Because this technology integrates tightly with the Case Management application - a custom-developed Oracle-based application - it simply captures the keyword values used to index the documents from their application. As a result, the only additional step for the county to implement the technology is to have the file clerks scan the documents.

The scanning labor is more than offset by the other advantages of using Application Enabler. Because of the integration, documents are linked to the Case Management application as well. This allows judges, the district attorney, the state court solicitor, the sheriff's office, the court administration office, and the magistrate court to simply click on a field in CJIS to retrieve all relevant case files immediately. This impacts about 200 to 300 people working inside and outside of the courthouse.

Business Process Management
The Application Enabler can 'Process Enable' software applications. The Application Enabler can be configured to create a virtual e-form from data that the user is working with. After that, the e-form is passed to the related business process in the record management software. The Workflow can then 'evaluate' the contents of the line-of-business application screen the user is on in real-time. At this point the workflow can notify a manager that an invoice has been entered into the line-of-business application that needs immediate attention

Record management technology can offer businesses a number of benefits and is easy to implement. Do some research and consider if record management technology is right for your business, then find a reputable record management company in your area.
