Timing is everything when it comes to planning and sending save the date, invitations and thank you notes. For the most part, this is true. Therefore, it is very important to plan your activities, events, and responses in a timely manner. Whether it is party invitations, notices, or thank you notes, timing the save the date for these items should take precedent over other events that are being planned.

Timing the save the date, invitations, and thank you notes should take priority when planning, initiating or following up on an event. When planning a party or other special event, it is very important to give your guests ample time to make arrangements or plan to attend. Therefore, your invitations should be mailed at least two weeks in advance. This will give most of your guests plenty of time to prepare to be at your party or event. Call or email the invited guest before sending the invitation out to ensure they are aware of the time that the event will take place if they work evenings during the planned event.

Timing the invitations for mailing is crucial. For instance, the invitations should not come too early (if this happens, many times guests forget about the planned event). If the invitations are sent too late, you are not giving the guest an opportunity to plan his or her day for the event. Therefore, the timing of the invitations and the save the date announcements should be well planned.

Thank you notes muct be sent within a reasonable amount of time. Most often these notes should be sent within a week of the event. The sooner the better when sending out thank you notes. Everyone loves to receive a thank you note for giving a gift. This not only tells the gift recipient that the gift was appreciated; it also lets the person know that the gift was received. Writing thank you notes when reciving a gift and thanking guests for attending a party is always appropriate. More often than not, the person purchasing the gift will enjoy and appreciate receiving a thank you note, regardless of the timing.

Sending both save the date and invitations should be sent within two weeks before the event and send thank you notes within two weeks after the event. For this reason, most people feel that the two week window (whether giving or receiving) is the magical number. However, with most events and occasions these dates are not set in stone and can be changed or adjusted to meet the needs of those involved. Therefore, save the date, invitations and thank you cards should be sent on an individual basis within a reasonable timeframe.
