Organize Your Office For Greater Functionality

By:

There are several considerations to make when you want to organize your office for improved efficiency. The way that your office is set up will determine how traffic moves through it and this is an important factor to consider when you are arranging furnishings and equipment. Your work environment should be functional and set up for the greatest efficiency.

When placing your desk and deciding on your seating area try to ensure that you are not sitting with your back to the door. Also try to situate your desk in an area that does not have high volumes of traffic moving past it. This might distract you from important tasks if you have people brushing past the back of your chair, as an example.

A clean, uncluttered workspace is conducive to greater efficiency, so always ensure that at the end of the working day that you take a moment to organize and clear you desk. This ensures that when you walk into the office first thing in the morning that you can begin the day with a clean, uncluttered workspace. For greater efficiency, ensure that office equipment that is used most often is easily accessible.

Ensure that corridors and areas that see high traffic are uncluttered. It may be tempting to stack files and other seldom used items against the walls, but it is best to keep these areas free of any sort of clutter. Make sure that you have enough storage space available in the office. Equipment that is rarely used should be stored out of sight and damaged or obsolete appliances should be replaced.

A good way to work is to assign designated spaces for certain items. Make a habit of keeping office supplies in a particular area of the office. Trays, caddys, drawer organisers and the like are very useful items to keep order in a busy office. Ensure that all paperwork is filed immediately rather than left piled haphazardly on a desk.

Files are a great way to store information in a neat, organised system that is easy to access. Filing cabinets make ideal places to store important information and modern models are lockable. When considering new office equipment, consider purchasing multi-function equipment that can do several operations in one. One machine can do the same job as a printer, fax, copier and scanner and takes up far less space that each individual piece of equipment.

Counter top space is always at a premium in most offices, so plan wisely when purchasing equipment. If you do not use an item regularly, find a place to store it under the counter, out of sight. Clutter can make your office appear crowded. Your working environment is an important consideration and you should spend some time reorganizing and clearing away any unnecessary clutter.

The office is a place where you spend most of your day and as such it makes sense to ensure that you feel comfortable and at ease in your working environment. As you organize your office, select decor and a color scheme that is pleasant and adds to the overall functionality of your office.
