Meeting rooms are an important part of any office. Meeting rooms also say a lot about the company they are in. They form a central space in which people come together from different teams to discuss, brainstorm or review their work. Meeting rooms give people a chance to move away from behind their desks and step out of their daily roles, so that they can focus on the agenda. If meeting room is properly arranged it will work for all kinds of business occasions.
An advertising agency is considered more modern and less formal, and will use bright colors, unconventional furniture, and will usually display interesting wall art as well as magazines and casual reading. Meeting rooms here are often a place for brainstorming and creative discussions. These meeting rooms have comfortable furniture, like beanbags, that allow sitting comfortably for long hours. They may also have posters and notice boards to show off creative work theyve done or admire, or inspirational material.
A more formal corporate, like a bank or insurance company has a more staid image and will refrain from making statements by using sober colours, formal furniture and usually has only reference books like business dictionaries, etc. These meeting rooms are meant more for presentations, client meetings, etc and reflect that serious image. They also usually feature awards, recognition or certificates awarded to the company.
Meeting rooms, however they are used, should stick to some basic rules. These rules help make meeting rooms suitable for the purpose they will be used for:
Meeting rooms should be spacious. At least 6 people should have enough space to be seated as well as having space for movement or walking.
It is important that meeting rooms should are airy and well-lit. Another good option is to have multiple lights with separate switches so that during presentations using OHPs, the lights near the screen can be dimmed.
Cleanliness is important to all meeting rooms. It is very unappealing to use a dirty, dusty or stale-smelling room for a meeting.
Meeting rooms should have furniture such as a coach, computer tables, big table, chairs, and a side table for smaller equipment like copy-machine, computer, printer, scanner, telephones etc. It should also have a white-board or blackboard, notice board, and overhead projector.
