If it is too hot then it might be too uncomfortable to drink. Sometimes a speaker will ask for something a bit more specific and an organizer must provide it as long as it is within reason.

If a conference will take a great deal of time to get to and from, a hotel and limo service should help. If a hotel is able to do that for you, then that would be a good option for you. This ensures that their people will not be late and flustered just right before he or she begins her talk.
