Have a time period of at least several months prior to the event in order to handle every necessary detail. Draw up a realistic budget first, and then decide on a theme for the company event. Decide on a date and time for the big event, along with a location. There are numerous professional entertainers and speakers who specialize in providing entertainment for corporate events, so get ideas and referrals from business colleagues. Decide if you want musical entertainment, magic, a special multi-media show tailored to your business, a comedian or a guest speaker. The kind of food and entertainment you can secure for your special event may be dictated to some extent by the budget you have to produce the event.

Paying attention to details is the key to successfully planning any company event. You must know the exact number of people attending and if they need hotel or overnight accommodations. If participants will be driving to the event, plans must be made for adequate and safe parking as well as valet services to park and retrieve cars. If formal invitations or announcements regarding the event are being mailed, a planning session with a printer is needed and the invitations must be sent giving enough advance notice.

Make certain that all contracts pertaining to the event such as caterers, entertainers or hotel bookings are in writing and that deposits are paid in a timely fashion to lock in your required time and date. A day before the event, go over your check list to make sure that every detail has been double-checked. Give final attendance counts to the caterer and give out last minute assignments to any employees involved in the planning process.
