First impressions last. This is just as true with email today. Each time you send an email message to your recipient, you are presenting yourself as a whole, leaving room for criticism and praise. Most email experts say that the best way to measure ones ability to write effective emails is by counting the number of replies you get. Unfortunately, most email messages today are getting fewer responses from its intended readers. This clearly shows that effective emails are a rarity in todays corporate setting not including the kinds of emails that are mandated from the top management. In order to enhance your reputation and your personal brand, you may consider improving the quality of your email. Of course, there are many factors surrounding an effective email. Factors such as clarity, grammar, spelling, and tonality are essential in writing effective emails.
Stick to One Point at a Time
Based on surveys, a lot of email messages today are unfocused and are jumping from one point to another. This results in confusion on the readers part. As a rule of thumb, remember that the simpler the email, the better it is. Although email has a lot of advantages compared to the traditional way of writing letters - being free and unlimited as one of them - the temptation to include multiple subjects in one message is always a problem. Thus it is always better to write emails accordingly, concentrating on one subject at a time. That way, you improve the clarity of your email and your chances of getting more replies will increase.
Understand the Power of a Headline
Do you know what draws people to read the newspaper? Youve probably guessed it yourself. Of course, its because of the catchy and clear headline. A headline or a subject actually does two things. First is that is catches your attention. And the second is that it summarizes what the content is all about. The key thing is: if you stick to these two policies, your email quality will significantly increase. On the other hand, if you are sending frequent emails, such as weekly reports, it is advisable to maintain the spontaneity of the heading while including a call to action. This means that you add words like, Please reply as soon as possible, or Please submit on Friday, to compel your readers to act.
Write Politely and Objectively
If ever you find yourself writing while you are upset and angry, it is wise to save a draft first before actually sending it. You have to be careful about letting your anger or frustration show. Many reputations have been ruined by a single angry email showing the dark side of humanity. Since email messages can spread like wildfire overnight, you might want to consider holding it in your drafts folder for 24 hours before sending it. Your reputation is more important than your angry words. When you find yourself in a contentious situation dont email, pick up the phone.
