If you thought that sending
invitations to the VIP guests for the special event that you are holding could be the same as the
birthday invitations or the wedding invitation, you might be doing injustice to the dignitary. There are some distinctive elements of design, text, language and layout which shall bring out the importance that you attach to the person you are inviting at your special occasion. Some of the main points that shall be noted in this regard are:
- Get a crafty or designer invitation card developed. If the VIP is more likely to like the simple design, you can opt for the same.
- The language has to be formal. Invitations sent to the VIPs are written in graceful but simple language. Since the person is special, there is no harm in addressing him or her with the right titular prefixes like ‘Honourable’, etc. The spellings of the names, titles and other mistakes shall not be there.
- If the VIP is required to play a role in an event, the invitations shall be accompanied with a formal letter as well. These articles shall include the following:
a. Name of other VIPs and other important guests
b. Organizations sponsoring the event
c. Name of the person in charge of the event
d. Location or the venue of the event
e. Date and Time of the event
f. Clear mentioning of the type of activity which is required to be performed by the VIP
g. Name and designation of the person who would be attending to the VIP on his arrival.
- It is also a good idea to have some people proof read the invitation card to check for any grammatical errors as well as see whether the other details are accurately mentioned or not.
- You can also provide the guest parking pass and can even enclose a map for the arrival of the VIP.
When it comes to sending of the invitations to the VIPs, it is important to remember that they are busy people and have their appointments fixed well in advance. So, the
custom invitations shall be sent well in advance, say, at least a month before the scheduled date of the event. Now, it is very important to get their confirmation of attendance before you tell other guests about the VIP arrival. Ideally, some representative of the event shall go to extend the birthday
birthday invites to them. It is better if he or she is accompanied by one more person.
On their arrival, you can even ask some of the people to be the escorts to the VIP for accompanying them to the venue from the parking. You shall also request fro a short biography of the VIP so that the announcer can inform about the VIP before he addresses the event.
