As your business grows you may find the need to take on staff of your own. Using outsource workers to complete admin tasks is great in the first few years of business, and some businesses work extremely well this way, never finding the need to change. However, some businesses are better suited to employing their own staff to deal with administration in house. This is a whole new challenge. As outsource workers themselves are running their own businesses, they are motivated. They don't get paid unless the work is done and done to a high standard. Unfortunately, employed staff don't have that kind of motivation as they will obviously be salaried. You can of course dismiss them if they don't perform, but since it costs an awful lot of time and money to employ new staff, this could prove very expensive. It is estimated to cost three times a persons salary to replace them.

So, how can you motivate them to become more efficient?

You need to get them to own their tasks. Show them that they are an important part of the business and give them the opportunity to share their views and ideas. Schedule a meeting with them and advise them what the meeting will be about i.e. to discuss how you can all work as a team and the business become more efficient. Suggest that they come up with their own agenda on issues that they would like to discuss and what they perceive the problems to be. Use the meeting to brainstorm some ideas and suggestions, and then schedule another meeting to follow up on agreed actions and results.

To streamline your daily tasks, you may wish to put some systems in place. Again, allow the staff to have their own input into this. You may find that they have some great ideas that you hadn't thought of.
