Are you constantly sifting through hundreds of emails each day? Maybe you are efficient in handling your emails, but are your employees as efficient as you? Even if you are already using an email client that was installed by your I.T. department on all of the computers in your office, it will not automatically solve all of your email problems. While different organizations have different policies with regards to using emails, for best practices you should not allow your employees to get used to reading personal emails while they are at work. A big advantage to this is that they are not distracted because all of the communication they are getting are for work only. They will not be distracted by any personal email especially because they are not allowed to check on them in the first place.

An email training can also help your sales and marketing efforts. How? By training your employees on the proper way to communicate, through email, with your customers and business partners. Because what if one of your employees rudely answered a client's inquiry? Do you think that client would continue doing business with you? Definitely not. That is why you should teach your employees on how to properly handle each email that they will get. With the right use of emails, you can get more customers and you can also retain the current ones.

You should also teach your employees on how to avoid viruses that are sent out through emails. While you may have an antivirus software installed in each of your office computer, it is not a hundred percent fool proof. Sometimes viruses can still go undetected, especially if someone unknowingly and unwillingly opens an infect email attachment. So to avoid costly computer problems, train your employees on how to spot potential virus-laden emails.

Learn when to send a copy to a co-worker and when not to. Because this can lead to a lot of emails in everybody's inbox. If an email concerns just two individuals, do not CC it to all of the people in your office. Just send that email to the concerned individuals so that it will not clutter other people's emails.

These are just some of the ways that you can improve the email efficiency in your office. An effective email training program can greatly contribute to better office workflow and again, can save you a lot of work hours. Just make sure you are getting your training from the right kind of company or organization.
