How Project Management Software Has Changed Project Management

By:

How important is it for project managers to work with a functional, easy-to-use software program where they can have access to real-time, pertinent information and be able to benefit from collaborative efforts? Well, if it means the difference between having a successful product launch, or completing a project on time, then it's pretty fair to assume that having a project management software is not only important, but that it has made a huge difference for project managers everywhere. To succeed in project management means to be able to disseminate information and make timely decisions. This requires the project manager be able to identify non-critical & critical paths within the project itself, isolate the project's cost drivers and put plans in motion to reduce their impact. So, given the importance of project management software to the profession, what are some examples where the software has made all the difference?

The Strength of Collaborative Tracking

Project managers must be able to rely upon access to timely information. It's the sources of that information, and how the project manager accesses that information, that makes all the difference. Project management software programs allow project managers to benefit from collaborative efforts by tracking work task completion, costs and issues. It's about tracking work in real-time with a software program that provides advance warning of pending issues and the steps needed to resolve them.

Capturing Project Costs & Issue Tracking

Project managers must be able to rely upon historical data and information in order to succeed at their profession. Most project managers manage multiple projects with a number of similarities. Having the right software to track issues, and project costs, allows project managers to retain vital information for future reference. Issue tracking in real-time allows one to immediately identify issues and put a plan in motion to eliminate them. So, while there is a benefit to retaining historical data, there is also a benefit of having access to immediate information.

Adjusting & Playing with Project Schedules

Every project manager must be adept at handling adversity. It's common to encounter issues and scheduling delays. However, to properly deal with these delays, the project manager must be able to identify non-critical and critical paths within the project. This means to play around with project timelines, constraints and variables. Before software came around, project managers had to track these uncertainties themselves. This was not only laborious, but also extremely problematic. Now, project managers have access to software programs that allow them to isolate whatever variables concern them. They can adjust these variables and play around with a "what if" scenario far more easily with a software program, than without one.

To successfully manage a project requires the ability to multi-task, maintain project timelines and not exceed the project's budget. To do that requires having access to a project management software program where functionality is of paramount importance. Project managers rely upon the ability to immediately identify issues and find solutions. None of this is possible without having access to a software platform that isolates and identifies areas of concern.
