Hinduja Global Solutions Limited (HGSL) is a listed ITES company with around 14,000 employees and 10 offices in India, USA and the Philippines. HGSL wanted to automate its paper-based appraisal system and switch to a fully automated one. Given the nature of the data (employee appraisals), this would be a sensitive project. It had to address issues about transparency. Since appraisals happen once a year, there was no time to test the new system, so it had to go live in the first year itself.
To address this,
Hinduja Global Solutions created an online appraisal system. The project involved the collation, validation and synthesis of approximately 11 million data points involving over 800 parameters across the organization. It converted the paper-based appraisal system to a fully automated 24/7 online appraisal system.
Post deployment, the manual distribution of 14,000 multi-page paper forms was eliminated, thus saving both time and costs. These savings have enabled the HR teams to focus on other important tasks, thus leading to role enhancement. The biggest benefit is the boost in employee satisfaction levels, resulting in increased productivity and reduced attrition. Training requirements are easily collated and the HR department is able to view city-wise training requirement trends, and then plan the training calendar and content in a better way. Online information on collective departmental training needs as well as individual career development plans has brought in improved efficiency across the organization. The backlogs on appraisal do not exist anymore as data points are available in a timely manner to the Operations, HR, and Accounts departments for their respective work. Operations now spend just 20 percent of their time filling
online forms.
