Event Planning For All Occasions

Several times a year, I am involved in event planning. I belong to several different civic organizations that sponsor different fundraisers and other charity functions, as well as parties and events that honor individuals in those organizations that have warranted specific merit. Were it just a matter of hosting a banquet or two, it would be no big deal, but these events can be pretty complicated, and everything has to be done to match the character of the organization, the people who will be attending, and the type of event that is to be hosted. That can get pretty tricky, especially when taking into consideration that most of these events have attendees from all walks of life and all age groups, often including people who are underage. All of this has to go into the event planning, and everything has to be according to criteria or there will be hell to pay.

The charity fundraisers can be the most difficult, because everything involved will be somewhat overpriced and those who buy in need to feel like they got their money's worth while actually knowing that they are often paying three times the amount for what they are getting. Because of that, the theme of the event most be somewhat emotionally charged so that their feelings for the charity are stronger than their feelings for their bank accounts. It is also helpful if alcohol is involved, because people are willing to pay more for drinks, and because mixed drinks tend to loosen even the tightest wallets. Entertainment is crucial, and finding someone who can cater a great meal makes it a lot easier to pull of a successful fundraiser that will have people willing to support the organization long after the money drive is over.

Another common event that we host has to do with honoring individuals within the organization who have warranted special recognition. Sometimes these are a surprise to the individuals being honored, but for the most part we try to let them know so that they can be a part of the planning and have the opportunity to invite guests with whom they would like to share the moment. Gathering information about the honorees and planning presentations that highlight their service is crucial, and the same rules for catering and entertainment apply. Sometimes we charge a modest per plate fee to defer the costs, but often, the organization hosting the even covers the costs. In any case, event planning can be fun and rewarding, as long as it is done correctly.
