Dynamics Gp General Ledger Advanced Topics: Matching, Multidimensional Analysis, Structure

Sometimes we consider General Ledger module as the destination for the distributions from subsidiary ledgers, where all you need to do is verify batch totals, distribution and post the batches, originated in other modules. Microsoft Dynamics GP offers several powerful tools within GL itself, where you can go beyond the traditional routines. In this small publication we would like to review such new improvements as Transaction Matching (introduced in version 8.0). Plus we would like to revisit such powerful instruments, as Multidimensional Analysis and Organization Structure:

1.Transaction Matching. Sometimes it is referred as simple project management. If you have posted transactions from such modules as Sales Order Processing (project related invoices) and Accounts Payable (small expenses and subcontracted support cost) and even Payroll module (internal labor cost, associated with the project) in Financial you can now open Transaction Matching form (the name of the form is General Ledger Transaction Link Maintenance). Select here Sales Account and mark all Sales Invoices and Return associated GL transaction. Then switch Account to Purchasing and link all project related expenses. And finally do the same with Labor cost account (US Payroll module). We found it also useful to create separate link transaction for Sales, Purchases and Labor, then create Transaction Matching Group, give it the name of the project and mark single or multiple links. This reasonably simple procedure allows you to tie together project transactions and create report on its profitability. Consider something like Transaction Matching Link Number report, where you select Matching Group as the filter. One additional touch might be recommended add Total Profit/Loss summary at the bottom by opening this report in Report Writer

2.Multidimensional Analysis. Before Transaction Matching was introduced, we recommended MA for simple project management. However, Multidimensional Analysis is better geared toward long term projects, as you cannot deactivate Analysis Group when it has codes with associated accounts and posted transactions

3.Organization Structure. This mechanism allows you to introduce account level security in Great Plains, which could be required in large corporation. Here you first build up to four levels in the structure, then define entities on each level. Next step is to build Organization Tree (Company, Territory, Product, Department should give you a good example, we recommend you to review your Corporate Chart for initial brainstorming). Then you assign User Classes or individual users to the Entity in the OS. As final step of the setup you assign accounts to the Entities and activate Account Security in the Company Setup

4.Support domestically in the USA, Canada, Mexico and internationally. This option is possible via Web Sessions, Skype or Phone conferences and direct visits onsite (in the case of the large scale project).
