Archival companies are used by a wide variety of companies for storage of their business documents and records. Most archive companies provide boxes which their customers can store their records in. However, for a variety of reasons, some companies wonder if it is possible to use their own boxes instead of using those which would be provided by the courier company. In most cases, a Philadelphia document management company will allow this, but there may be some stipulations that it is important for you to know about.

While most archival companies will be happy to let you use your own boxes, the one thing that they will almost universally insist upon is that they are a standard sized file box. An archive company is going to store files for many different clients, and all of their files are going to be stored in boxes which are exactly the same standard size. The shelves which they use in their storage facility to store the files will likely all be sized to perfectly accept boxes of this size and shape. If a company wanted to store files with them in boxes which were not standard sized, it would affect how the boxes fit in the shelves, with some boxes potentially being too large to even fit at all. In order to keep everything nice and organized, they will require standard sized file boxes only be used.

The next thing that they will usually require is that you only use storage boxes which are made from acid free material. Many of the documents which are stored with archival companies are stored for very long times. These companies usually try to maintain a very pure environment so that nothing will start to affect the integrity of the files themselves. Acidic boxes can do this, and this is something that most archival companies will want to eliminate from their storage facilities altogether.

Archival companies will often ask that your boxes also be plain and unmarked. This is usually a security measure. The storage methods that archival companies use are meant to make all files unidentifiable except through whatever unique identification method the company has in place. Boxes marked with company names or logos become easily identifiable, which can compromise the security of the files. Essentially, if a company has their own standard sized, unmarked, acid free boxes, the storage company should allow them to use their own boxes for storing their files.
