Creating Business Systems That Work Today

Let's say part of my creating business systems is I build websites. There are four components: I research, I build the content, I do the site build and I get the traffic. That is a very simplistic four step model. You might blow that out to seven steps or however many steps and that means your employees will never get the full picture as to what's going on. That enables them to cross communicate, keeps the work moving, but they don't know the whole process. I personally don't stress about it too much. I'm of the opinion that you can know exactly what it is that I'm doing. I can give you an open book and you still won't be able to do it to the level I'm doing it at. So I'm at that stage where it doesn't bother me.

I don't mind if my employees cross communicate. I look after my team members. I make sure that my system hires A players. I know that A players, when we hire them, they've got good integrity. They're not going to rip me off because they know I give them everything including strategic business systems and in return, I get that back. So it doesn't bother me so much, but if you're a little bit paranoid, then maybe you can have a look at doing something like that.

Some super pro moves. Super pro, if you want to take this to the next level, the first thing is having contingency plans. So if you have someone who does your Ezine articles, and they're the person who writes the Ezine article, make sure you have your second in charge or someone else skilled up on how that system works. It might not be at the same level of that first person but still have a backup person. If for whatever reason they fall of the perch, you've got someone ready to plug straight back in.

When you're working with clients and you're promising them that I'm going to deliver something like creating business systems, there's nothing worse than someone dropping off the perch, you not having the right resource to be able to plug back into it and then you go back to the client and say sorry, I wasn't able to deliver. So you need to make sure that you have those contingencies in place.

Another thing, super pro move, create a system to create systems. The idea is where you create a process for your outsourcers to create processes. It's part of the culture that they help put things underneath them. I know when my project manager started, and he's gone through this process, we do things for my assistant and we're creating the videos. The project manager first did it himself so he could understand it. He became the system architect.

He then created the process by which we take our videos and we get them uploaded to YouTube. Now we have another assistant refining that system again because now it's getting to a point where I'm creating these audio interviews. I want to get a set of slides made up. I want to get a set of slides to match some audio so I can create a video out of my audio presentations. Then I get that cut up and then I get it uploaded to YouTube. So I'm repurposing content as part of creating business systems for my SEO company today.
