Corporate Event Planning Tips

By:

Perhaps one of the better ways to get the feel of what it's like to plan and carry out a corporate event is to go on a camping trip. Sound crazy? Well it shouldn't. Thats because in both camping and corporate event planning you will have to plan and provide for everyones needs and it really is all about logistics. Also with camping, one simple mistake can lead to what is commonly referred to as a bad camping trip.

You Must Truly Enjoy Event Planning and Hosting
Forget to bring toilet paper? Opps! Now what? And the list just goes on and on. So what is really most important is that you truly have a love in your heart for what you're doing. For just like running a restaurant, if you're just into it just for the money it will show just as soon as the first guest arrives and steps through the door.

Be Willing To Examine New Ideas and Concepts
You must be willing to receive advise. This doesn't means that everything that anyone says will be valid. It just means that you should have a big board that ideas can be posted on, discussed in committee and tossed around. Remember that there are just so many things that can go wrong and so many things that can go right, so try to have a look at them all, so you can become familiar with them.

Form a Committee That Can Meet to Problem Solve
You need to include other people in your planning committee. Create a group that can meet at least twice or so during the initial stages to bounce ideas around and assign responsibilities. Make a check-list of all the main core priorities and then list alternatives for each and every one of them. Have a band in mind? List a second you can turn to. Is there a caterer you have checked out. List a second, in case that one falls through.

Read All Contracts Carefully and Bring a Black Felt Pen With You
Beware of liars and flakes because the world is chock full of them. Have yourself some contract forms drawn up and anyone who you hire to do anything must sign to one. At the same time, if you are using caterer or live entertainment read their contracts carefully so you don't have to learn any painful lessons on event night. If their contract appears to complex, simply take a felt pen and delete out what you deem unacceptable prior to signing. If they don't like it then renegotiate or look for someone else.

Check Out the Venue and Parking Facilities At Night
Other items that you need to tend to may include creating a simple and concise clear map of where the event is, including a simple map directing the gusts to the parking area. Make a point of visiting any remote parking facilities at night to see if you may or may not need to hire a private security guard for the even just for the parking lot. Also give serious consideration as to whether or not you will need some form of private security for the event itself.

Pay Close Attention To All the Little Things Too
Finally, you really do need to make a nice big check list of all the little things that can go wrong. Was in John Lennon who said life is what happens while were all busy making plans? Is there adequate power supply for the bands equipment? Are the sprinklers going to be turned off that evening? Is there going to be a maintenance man on hand that night? A toilet plunger just in case? A flash light in case the main fuse blows? Are you starting to get the picture?
