12 Tactics For Ppc Professional To Conduct Successful Meetings Or Calls

Most PPC managers have to report to someone. That could be clients, a direct supervisor, or upper management of their company.
For many PPC professionals, these reports/updates take place over the phone. So how can you get the most out of client and/or upper management meetings whether they are over the phone or in person?
Here are 12 tactics to ensure that you will have successful meetings or calls.
1. Select the Right People & Invite:
Make sure that you invite decision makers and individuals who absolutely have to know what has happened with your SEM efforts. Please dont waste anyones time by inviting them to a meeting that isnt necessary for them to attend.
2. Be Punctual:
This should be done without saying. If youre running the meeting, then take the responsibility and make sure it runs on schedule. People attending the meeting have other appointments or work after the meeting, if you keep on dragging the meeting that could irritate them. So Start on Time, End on Time
3. Determine Your Objectives:
First think do you even need to have a meeting? If you arent very sure why the meeting is even happening, then you may not need to have it. However; if all signs points to Yes, then you need to have objectives for meeting, but dont just focus on topics i.e. what should everyone get out of the meeting.
4. Be Prepared:
Preparation is the key to any success. Dont show up yourself in meeting without spending ample time reviewing your recent performance.
Try to predict the questions/concern that may arise during the meeting. However everyone cant predict each & every question that is raised during the meeting; but dont be afraid of saying I dont know, but follow it with I will find out & follow up.
5. Analysis & Statics:
Analyzing the data & providing insight is more important but pulling stats is equally important. Your clients/boss doesnt just want stats but they want to know what they mean for the business.
6. Prepare an Agenda:
Right from the time you start the meeting until you end it, know what youll have to discuss in the meeting ahead of time. This goes hand-in-hand with knowing your objectives.
Prepare an agenda on the before day of the meeting; or few hours before the meeting begins. Then send email to everyone who is attending, this way all attendees will know what will be discussed.
7. Keep Most Priority Topic on Top:
Make sure that the most important topics are at the top of your agenda. Dont spend the first half of the meeting going over less- important topics. If you do so youll run out of time, then you cant finish the meeting on time. These secondary topics can be discussed during next meeting or even over emails.
8. Communicate Clearly:
This is one of the most deceptively difficult tactics on the list. It takes practice to communicate clearly. One way to enhance your clarity is to review your agenda a few times before the meeting.
9. Ask for Feedback:
Allot some time for feedback, before closing out any topic on the agenda; ask again if anyone has any question; comments or concerns before moving on. Someone may be thinking of something but couldnt have spoken out; this could give them chances to come out with their idea. This will help you close topic as you move through the agenda.
10. Review Tasks:
At the end of each meeting always review the take away tasks. Review what you will accomplish as a result of this meeting and also what other need to complete as well. If you want to give a neat finish, then give out the task list for everyone when you finish the meeting.
11. Keep it Short:
Many are allergic to long meetings. It makes them drowsy, distracted and irritable.
Meetings kept under 30 minutes tend to be the most productive. Once you hit that 40 minute mark, everyone starts to lose steam though there are exceptions to this rule.
Sometimes meetings just have to run long. If there is a topic that needs to be discussed and its taking longer than expected, dont cut it off just to keep the meeting short. However, do your best to keep things moving and end on time.
12. Repeat the Task for Perfection:
If you once determine a meeting format that works for you & your client/supervisor, stick to it. Get in a groove. Just like as repetitive task, the more you do it, the better youll get & everyone will know what to expect from you.
